This course is for teams that are using GenAI, or preparing to use it, in shared work. Individual experimentation may produce useful results, but it can also lead to inconsistent quality, repeated effort and uncertainty about who should check or approve the work.
Participants learn how to choose an appropriate team task, design a shared GenAI-enabled workflow and create reusable prompts. They also establish practical checks for accuracy, completeness, relevance, privacy and responsible use so that GenAI supports the team without replacing human accountability.
Current Needs
As GenAI use moves from individual experimentation to shared work, teams need a repeatable approach that other people can understand, use and review.
- Uneven results. Team members may receive different answers because they use different instructions, source information and quality checks.
- No shared workflow. Useful individual practices may not become a clear and repeatable way of working.
- Unclear task suitability. Teams may use GenAI without first deciding whether it is appropriate for the task or information involved.
- Late or inconsistent review. Errors, omissions and privacy concerns may only be identified after the output has already been used.
- Unclear accountability. People may not know who prepares the input, reviews the output, approves its use or decides that GenAI should not be used.
What You Will Achieve
By the end of the course, participants will be able to:
- Evaluate a recurring team task to determine appropriate uses of GenAI, relevant constraints and opportunities for improvement in work.
- Design a shared GenAI-enabled workflow that defines inputs, work steps, human responsibilities, review requirements and approval points in accordance with applicable organisational AI governance requirements.
- Develop, test and refine reusable prompts by comparing their outputs against the requirements of the selected team task.
- Evaluate GenAI outputs and refine the shared workflow against agreed criteria for accuracy, completeness, relevance, privacy and responsible use.
Training Approach
The course uses one guided team challenge throughout the modules. Short explanations and demonstrations introduce each new step, after which participants work with examples, test ideas in the GenAI tool and improve their work through comparison and feedback.
Most of the training time is allocated to applied work. Participants learn by making decisions, observing how prompt changes affect outputs and building artefacts that can be adapted to an appropriate workplace task.
- Workplace context. Participants examine a realistic recurring task and relate the decisions to their own team environment.
- Facilitated modelling. The trainer demonstrates task screening, workflow mapping, prompt comparison and output checking before participants try them.
- Guided experimentation. Participants test different task choices, prompts and workflow arrangements rather than relying on one answer.
- Feedback and reflection. Peer review and trainer feedback help participants explain their choices and improve the workflow.
- Assessment and transfer. Each participant completes an individual practical assessment covering task selection, workflow design, prompt refinement and output review.
Module 1: Choosing a Suitable Team Task
- Understand where GenAI can help with a recurring team task—and where it should not be used.
- Identify the task outcome, inputs, constraints and risks that affect its suitability.
- Practise selecting and justifying a suitable task using a simple screening tool.
Module 2: Designing a Shared GenAI-Enabled Workflow
- Use a structured approach to map a shared GenAI-enabled workflow.
- Define the sources, human responsibilities, review steps and approval points needed for responsible use.
- Build, test and improve a workflow through guided practice and peer review.
Module 3: Developing and Testing Reusable Prompts
- Build prompts with a clear purpose, relevant context, constraints and output requirements.
- Recognise common prompt problems and how they affect GenAI outputs.
- Experiment with alternative prompts, compare the results and refine a reusable team prompt.
Module 4: Checking Outputs and Improving the Workflow
- Check GenAI outputs for accuracy, completeness, relevance, privacy and responsible use.
- Decide whether an output can proceed, needs revision, requires approval or should be rejected.
- Practise auditing an output and improving the prompt or workflow in response.
