This course is for people who write, adapt or approve information for customers, staff or the public. Policies, procedures, product information and service messages can be accurate yet remain difficult for non-specialist readers to understand or act on.

Participants learn to analyse a complex source, identify its essential meaning and use GenAI to produce clear, logically structured content. They then adapt the content for selected audiences, channels and accessibility needs while checking that important facts, conditions, warnings and required actions remain consistent with the source.

Current Needs

Clear communication is not simply shorter writing. Readers need information that is understandable and usable, while the essential meaning must remain accurate across every version.

  • The main message is buried. Readers may struggle to find what matters or what they need to do next.
  • Simplification can change meaning. Important facts, conditions, instructions, exceptions or warnings may be lost.
  • Different versions can drift apart. Details and terminology may change when each audience or channel version is created separately.
  • Accessibility may be considered too late. Structure, readability and access needs may only be checked after the content is complete.
  • Unreviewed content creates risk. GenAI may introduce unsupported details, privacy concerns or intellectual-property issues that require human review.

What You Will Achieve

By the end of the course, participants will be able to:

  • Analyse complex source information to identify its essential meaning, intended audience, communication purpose, required reader action and relevant constraints.
  • Develop, test and refine prompts by comparing transformed outputs with the source information to produce clear, logically structured plain-language content without losing essential meaning.
  • Adapt GenAI-supported content for selected audiences, channels and accessibility needs while maintaining consistency with the source.
  • Evaluate adapted content for factual fidelity, completeness, readability, accessibility, tone, privacy and intellectual-property risks in accordance with applicable organisational AI governance requirements, and decide whether it is ready or requires specialist review.

 

Training Approach

 

Short demonstrations introduce source analysis, plain-language writing, prompting and quality checking. Participants then produce, compare and revise content, with substantial time allocated to hands-on experimentation and feedback.

  • Source-grounded context. Participants begin with a realistic source and communication brief rather than an unrestricted writing prompt.
  • Facilitated modelling. The trainer demonstrates how to identify essential meaning, construct a prompt and compare an output with its source.
  • Guided experimentation. Participants test alternative prompts and content structures to see what improves clarity without changing meaning.
  • Adaptation and feedback. Participants create versions for different needs, compare trade-offs and check consistency with peers and the trainer.
  • Assessment and transfer. Each participant completes an individual practical assessment involving source analysis, prompt and content development, adaptation and a final quality/readiness decision.

Participants finish with a repeatable process for using GenAI to create clearer communication while keeping accuracy, accessibility and human review central.

Module 1: Analysing the Source and Communication Need

  • Identify the essential meaning, audience, purpose and required action in complex source information.
  • Recognise constraints and information that must be preserved or checked with a specialist.
  • Practise analysing a source and turning it into a clear communication brief.

Module 2: Producing Clear, Source-Grounded Content

  • Use plain-language principles and a source-grounded prompt to produce clear content.
  • Compare the GenAI output with the source for omissions, additions or changed meaning.
  • Experiment with alternative prompts and refine the content until the essential meaning is clear and accurate.

Module 3: Adapting Content for Audience, Channel and Access

  • Adapt structure, tone and detail for a selected audience, channel and accessibility need.
  • Keep essential meaning and approved terminology consistent across versions, including multilingual drafts that require specialist review.
  • Practise creating and comparing adaptations, then record what changed and what remained fixed.

Module 4: Reviewing Content and Deciding Readiness

  • Check content for fidelity, completeness, readability, accessibility, tone, privacy and intellectual-property risks.
  • Apply organisational AI governance requirements and maintain human accountability.
  • Practise deciding whether content is ready, needs revision or requires specialist review.
